The successful tenderer will be required to provide cleaning services at Dinnington High School, Rotherham, its onsite Youth & Community Centre and nearby vocational unit, located 1.5 miles away.The contract will commence on 1.8.2015 for an initial period of 3 years. This is the first time this contract has been subjected to a competitive tender process.The projected cost of cleaning for the current year is circa GBP 180 000 at Dinnington High School and GBP 2 900 at the vocational unit, however it is believed that through proactive management, the provision of new equipment and cleaning material innovation coupled with the effective training and supervision of cleaning staff, there is considerable opportunity for greater efficiency.The scope of the contract will include the day-to-day cleaning over 195 days per annum and in addition the holiday and periodic works being carried out as detailed within the contract specification.This contract will be fixed price in nature with the successful contractor also guaranteeing both the number of input hours to the contract and the quality of cleaning provision. The contractor will invoice the Client for one-twelfth of the annual cost on a monthly basis. Any variations to the contract that are requested by the client should be invoiced at the agreed rate and should be calculated on an hourly rate per employee needed to carry out the variation to the satisfaction of the contract supervising officer.Whilst the monthly charge will represent one-twelfth of the contract cost, a reconciliation will take place monthly to reconcile the actual hours worked within the contract. If the hours worked are less than those budgeted for, a credit will be required by the Client. The Client requires that the tendered amount of hours are worked at all times and the successful contractor is expected to have a system in place to cover for both planned and unplanned leave.The scope of the contract covers all cleaning provision within Dinnington High School and its vocational unit. The successful contractor will be expected to deliver a concise and detailed method of management reporting at the end of each month, thus updating the senior management team within the School on the actual financial and operational contract performance against the stated requirement.The basis and rationale of the Client requires the successful contractor to operate at all times in providing a clean School that is fit for purpose and that the contractor is proactive in the management of the contract, thus ensuring all specifications are achieved and that the frequency and scope of cleans is as detailed within the tender specification.Dinnington High School is a member of the Learner Engagement Achievement Partnership. It is anticipated that during the term of this contract there may be the opportunity for the successful bidder to align other Schools within the scope of the initial contract.We are seeking a suitably experienced contractor who has current experience of working within the secondary school or HE/FE market place, ideally with a strong operational base within the Rotherham area, thus allowing for both the adequate contract management support and the operational flexibility that is to be delivered moving forwards into this contract term.
