C-185/2009/10 Delivery of Electronic Records and Document Management System (ERDMS) Training

The Welsh Assembly Government (WAG) are seeking an organisation to provide both classroom and computer based training in the use of an Electronic Records & Document Management System to all WAG staff between May 2010 and April 2012. This will be approximately 6000 staff in around 60 locations across Wales. Each WAG member of staff will be expected to attend a 3 to 3.5 hours long session. This session will be led by a trainer who will get the class to perform tasks to replicate every day use of the system. The trainer will be expected to answer questions about the functionality of the system and know where to refer trainees to should questions about business procedures to be raised. There may be a need to develop computer based training packages to supply/ replace the classroom training, which will be suitable for distributing across our network, during the duration of the contract.•The detailed planning for the implementation and training schedule is not possible until approximately 8 weeks in advance of the commencement of a training requirement.•Training in some locations may only extend to a 2-3 days in duration before a break of several weeks is required and training recommences in another location for 2-3 days.•Training will be held simultaneously in 3-4 locations.•A requirement to provide ad-hoc training with fewer than 7 days notice is likely to be required on occasions.•The ability to deliver aspects of the course in Welsh would be advantageous.•On most occasions each trainer will be expected to deliver two courses per day.•Key Performance Indicators will be in place to ensure that WAG can react to underperforming trainers and seek their immediate replacement.•The contract is likely to also include the provision for a regular training slot to deliver new user training to new joiners. This is likely to begin as the equivalent of 1 day per fortnight increasing to one day per week in South, Mid & North Wales•It is possible that the training company will be asked to provide post training support in the form of floor-walking in each office. This would be delivered on an approximate ratio of 1 floor-walker per 20 users per day.
