Leicestershire County Council required a supplier that can safely secure storage for physical files, mainly paper files but some photographs and negatives which require a temperature-controlled environment. The Council has approximately 350,000 files in off-site storage, held in 23,000 boxes. This is likely to decrease gradually over time as rates of destruction increase. The Council requires a delivery and pick-up service available each working day but with the flexibility to restrict the service to specified days as required, files to be delivered and picked up between 08:30 and 10:00 at the latest. The Council also requires an urgent order service by which files should be delivered to County Hall within 2 hours of being requested. There should be an out of hours (emergency) service available. The Council requires a secure and confidential file and box destruction service, with a reasonable turnaround time and with the timely provision of destruction certificates. The Council indexes files using their own system at box and file level. The Council requires a web-based ordering and tracking interface with the off-site storage supplier.
