East Dunbartonshire Council (EDC) have utilised Crown Commercial Services (CCS) Framework RM6217 Lot 1. To gain access to an online booking tool for booking accommodation for short term temporary accommodation for households which need accommodation in emergency circumstances. CCS Framework RM6217 expires Dec 2024, the direct award from EDC will align with this date. CCS Terms & Conditions for RM 6217 shall apply. Suppliers should note that EDC is under no obligation to purchase any services as a result of this Framework Agreement. Therefore, no guarantee will be given to the amount or value of bookings, if any, that will be placed during the Framework Agreement period. There are no guarantees as to the number, frequency or duration of bookings made, if any, during the Framework period. A booking tool should be made available for up to 5 users. A booking confirmation email must be issued once a booking is made either via the online booking tool or in person. A PO will be provided for each booking, ideally it will be possible to enter the PO number within the booking tool to the supplier, alternatively a PO will be provided within 48 hrs of the booking being made. Invoices to be issued on a monthly basis to EDC. Suppliers should issue their invoices for the bookings on a monthly basis or within 14 days of the requirement ending. Each invoice should state, name of service user, dates of booking and price of room per night. The prices quoted should be as detailed in the CCS RM6217 Framework. Suppliers shall advise EDC within 14 days of any amendments to their House Rules, Behaviour Policy, Booking Policy/Procedures, House Keeping Procedures or any other policies or procedures that may impact on the service provided. Suppliers shall be required to comply with Data Protection legislation including General Data Protection Regulations (GDPR) as detailed within Schedule 4 - Data Protection Schedule. Suppliers shall not discriminate against service users and shall comply with Equalities legislation and regulations, including the Disability Discriminations Act (DDA). Suppliers will be responsible for maintaining adequate insurance cover throughout the duration of the Contract and as a minimum; -Public Liability cover of GBP 5 million -Employers Liability cover of GBP 5 million; -Professional Liability cover of GBP 1 million; in respect of each claim, without limit to the number of claims should be held. Evidence of insurance cover shall be required prior to the start of the Framework Agreement and should also be provided at each renewal date. Suppliers will be responsible for complying with all relevant legislation and regulations including Health and Safety. Suppliers will be responsible for complying with fire regulations and ensure that all fire safety systems and equipment are regularly maintained and tested.
