MAINTENANCE OF MEDICAL GAS SYSTEM - This specification details the requirements for the ongoing maintenance and emergency repairs of the equipment schedule enclosed.CONTRACT TERM:One Year, with an optional year, and another optional year after. (Optional years are strictly at the health board’s discretion)CONTRACT COVER:Preventative.NUMBER OF MAINTENANCE VISITS PER CONTRACT TERM:2 Service visits per year.RESPONSE TIME:An emergency call out service, providing an immediate response within 2 hours, 7 days a week, 52 weeks a year, for emergency work.HOURS OF WORK FOR MAINTENANCE VISITS AND PLANNED WORKS:During Normal Working Hours (Monday to Friday, 9am to 5pm)Medical Air CompressorsIt is recommendation that maintenance work on an MGPS, should be carried out by specialist contractors who are registered to BS ENISO 9001/BS EN ISO 13485, with scope of registration defined to cover maintenance of MGPS, and who can demonstrate compliance.As BS ENISO 9001/BS EN ISO 13485 is desirable, when submitting your proposal, please can you do one of three things below:Either submit your BS EN ISO 9001/BS EN ISO 13485 accreditation documentsOr if you are working towards this accreditation, submit proof of thisOr outline how you ensure maintenance work is carried out, within the scope of these standards.Technical standards. All works undertaken by the Contractor must comply with Health Technical Memorandum 02-01 and any relevant Supplement(s) (all latest editions). No variations to these publications should be made, unless specifically authorised in writing by Cwm Taf University Health Board.The successful supplier will agree to stock spares commonly required in maintaining the equipment listed in the equipment schedule.As per an instruction issued from the Health Board’s Head of Operational Estates, all Contractors awarded business for CTUHB, must be members of Constructionline.General Distribution SystemCheck for:Damage, especially serious abrasion, flattening of pipework and corrosion due to chemical or water leaks.Absence of, or damage to pipework protection methods, especially damage to ductwork and sleeving/mechanical shielding.Security of/damage to electrical bonding.Leaks – in any area, from fittings etc.Damage to, or removal of, fire stopping.Absence of, or paintings over of, exhaust/blow-down and pipeline identification labels, flow direction arrows, valve box labels etc.Breaches of security to MGPS plant rooms, AVSU’s, LVAs, valves, VIE compounds etc.Accuracy of as-fitted drawings, identification markings, labelling etc.Note:Only sections of pipework visible during PPM will be inspected.AVSU’s/Valves (and LVAs where accessible)Valves in plant rooms are not normally locked, but the room door should be.Valves in ducts should be kept locked in the normal operating condition.All AVSU’s should be kept locked, and keys should be subject to a proper key control system.Examine location cleanliness – clean as required.Check correct labelling – rectify, as necessary, orientation of on/off valves for ease of operation.Note: Valve operation can be checked on shut down of all services to a ward/department.Pressure reducing sets.Examine condition of all pressure regulators.Check security of safety valves regulator mounting locking devices – where fitted.Test creep regulators for correct settings.Pendant units/boomsExamine security of fixings/mountings, freedom of movement (as applicable), labelling and colour coding of hose assemblies.Check leakage from hose assemblies.It is not normally possible to ascertain the condition of hose assemblies by visible means. They should therefore be assigned a service life based on the complexity of the pendant fitting, the amount of movement it is capable of providing, and criticality of function of the pendant.Inspection of pendant fixings and mounts could be carried out at the same time as hose replacement.Test pendant unit/boom rotation, retraction, braking etc.Note: Hose construction/repair is a specialist activity.If hose damage is identified, it should be reported immediately to the relevant authority.NOTE: The authority is using eTenderwales to carry out this procurement process.
