Production of Historic Environment Scotland's Staff Magazine (Printed & Digital)

HES requires the production of its internal staff digital and printed publication, called Historic Times. Production will be four issues per year plus occasional special editions, as required. The successful supplier must have strong journalistic and graphic design skills and the ability to print and distribute. HES will require a dedicated account manager with whom regular meetings and updates can be arranged. The printed edition is for our staff who are not desk based and have little access to devices. The digital version is for all desk-based staff. The ratio is approximately 50:50. We have approximately 1400 staff in the winter season and 1600 in the summer season. Print runs are currently – Summer season 800; Winter season 550. HES gives no guarantee that orders up to or over the numbers given in this tender will be placed and HES reserves the right to place production of internal staff digital ezine contracts with other suppliers. Suppliers will be required to write approximately 50-60% of the content required for each edition. The text for the publication will be assembled from interviews and contributed materials sourced from HES staff guided by the Contract Manager and the Internal Communications team. The content of each issue will be based on an editorial planner, briefs to the supplier for interviews/article production and online meetings with the Head of Internal Communications and the Internal Communications Officer. Your response should demonstrate a high standard of writing and editing ability. Video content and licensed photographs will be supplied by HES. The successful supplier will liaise with HES’s Filing & Photography team and will be responsible for pursuing the delivery of photographs. The successful supplier will be required to carry out typesetting with editing checks, design, layout and digitalisation of the newsletter. Paper used should be from a sustainable or recycled stock. HES brand guidelines must be adhered to at all times. A copy of these will be issued to the successful supplier. A production schedule for each edition will be discussed and agreed with the successful supplier at the start up meeting. The successful supplier shall ensure that deadlines that are agreed with HES are met at all times. There will be an additional cost to the supplier for extra resources required to meet deadlines where HES is not deemed to be at fault. The total value of the contract will not exceed 24,000GDP per year. Any submission with a cost exceeding 26,000GDP per year will be marked as a non-compliant tender and will not be scored.
