T454 Provsion of Digital Dictation
Descriptions
Digital Dictation and transcriptionThe Health board is looking at innovative ways to help staff in their day to day tasks with recording and transcribing a variety of word documents in both clinical and non clinical settings. The potential use of these devices for taking images, barcode scanners etc would also be advantageous. The requirement is to look at :•Improving the accuracy of letter content due to the higher quality/clarity of the recording•Robust transcription features to turn recordings into text quickly, easily and accurately.•Transcribing another single speaker’s voice from pre-recorded audio files or from podcasts to maximize flexibility and drive productivity•Easily identifiable urgent dictations and able to be typed/transcribed by the next available typist.•No delay waiting for analogue tapes to travel across the Health Board to the designated typist•Improve data security with encrypted devices•Clinical correspondence accessible for the clinician at each patient contact even if letters are not yet typed. Able to listen back to previously dictated clinics.•Ability for another typist/clinician on a different site to listen to dictation at the point of the query. The Digital Health and Social Care Strategy for Wales was published in 2015. It sets the digital direction for NHS Wales and social care for the next five years. It is not intended as a detailed blueprint for that period but it sets out the ambitions and expectations which will deliver real benefits and improved outcomes for people in Wales. Two of the strategic directions which we wish to support with this developmentSupporting professionalsHealth and social care professionals will use digital tools and have improved access to information to do their jobs more effectively with improvements in quality, safety and efficiency. A ‘once for Wales’ approach will create a solid platform for common standards and interoperability between systems and access to structured, electronic records in all care settings to join up and co-ordinate care for service users, patients and carers.Improvement and innovationThe health and social care system in Wales will make better use of available data and information to improve decision making, plan service change and drive improvement in quality and performance. Collaboration across the whole system, and with partners in industry and academia, will ensure digital advances and innovation is harnessed and by opening up the ‘once for Wales’ technical platform allow greater flexibility and agility in the development of new services and applications. The Health Board will be looking at digital dictation and transcription to move towards these goals.Key requirements of the solution1.It must support clinical terminology2.The solution must be compatible with thin client technology with proven track record of operation on Citrix. This will need to be demonstrated with references that can be followed up with telephone conversations with past customers.3.Foot pedals and headphones must work on igels4.Centralised ICT support5.Remote ICT support6.Digital devices must be pin protected7.Training is supplied on site8.Only staff with correct permissions can play the dictations9.Solution is enterprise therefore scalable10.Housekeeping of dictations to ensure storage is not an issue11.It must demonstrate improvements in working practice12.It must show more innovative methods of workingKey outcomes of the project1.Improving the accuracy of letter content due to the higher quality/clarity of the recording2.Robust transcription features to turn recordings into text quickly, easily and accurately.3.Transcribing another single speaker’s voice from pre-recorded audio files or from podcasts to maximize flexibility and drive productivity4.Easily identifiable urgent dictations and able to be typed/transcribed by the next available typist.5.No delay waiting for analogue tapes to travel across the Health Board to the designated typist6.Improve data security with encrypted devices7.Clinical correspondence accessible for the clinician at each patient contact even if letters are not yet typed.
