Leisure Management System (Preliminary Market Engagement)

York Sport operates alongside the University of York to provide sport and leisure facilities to staff, students and members of the public. As part of a drive to modernise our leisure management capabilities we are looking to evaluate commercial offerings in this area. Specifically we are looking at Leisure Management Suites that can comprehensively cover our current online offerings and integrate with or provide solutions for our physical facilities. Our award-winning facilities are recognised as some of the best in the region, used by elite athletes and national teams. York Sport is divided into two sites: York Sport Village, located on Heslington East campus and York Sport Centre, located on Heslington West campus. Memberships are available to purchase at each site individually, or across both (dual-site membership). Both facilities are open to the general public as well as University of York students and staff. York Sport Village is also home to an award-winning Learn to Swim Scheme, and sports activities are available to book on a pay as you go or block-booking basis. York Sport also operates 1-1 Learn to Ride cycling lessons, a Junior Triathlon programme, as well as hosting birthday parties and a Squash league. Engagement
The University of York is issuing a market engagement questionnaire to seek feedback from the Leisure Management system market to help it to shape its strategy prior to advertising its tender. The questionnaire can be accessed through the In-tend e-procurement portal on the following link (https://in-tendhost.co.uk/york/aspx/Home) until 12:00PM Thursday 5th March 2026. The aim of this Preliminary Market Engagement (PME) is twofold, firstly to notify the market of the University's requirements, and for the University to obtain detailed feedback from potential suppliers who can deliver the requirements to the University. The University intends to utilise the information collected from this engagement questionnaire to develop a procurement strategy to take to market to procure and secure a supplier to meet its requirements. It is hoped that shaping and refining the procurement strategy will result in an awareness of the University's requirements within the marketplace, and that early engagement with suppliers will enable the University to achieve its objectives. This engagement process shall therefore be of benefit to both the University and potential bidders. This document asks questions on areas where the University is keen to receive feedback. These are not considered exhaustive, and respondents are invited to raise other areas they believe are relevant. Parties wishing to take part in this engagement process are asked to complete the questionnaire and return by upload to the In-tend e-procurement portal (https://in-tendhost.co.uk/york/aspx/Home) by 12:00 Thursday 5th March 2026.
